Basic Call Features

The following table provides the steps to follow in order to use the basic features of the Entity communications system:

Answering a Call

1. Pick up the handset when the phone is ringing.

Placing a call

Redial a Number

Call Mute and Un-mute

1. Press the Mute button to mute the microphone during a call.

Call Hold on your own phone

1. Press the Hold button or soft key.

2. Press the Hold button or the Resume soft key to continue the call.

Call Hold using a shared parking lot

The call can then be picked up by you or another person on their phone by dialling the specified access number

1. While on a call, press the Park soft key (on-screen), and listen for the slot number (71-79)

2. To retrieve the call, dial the specified slot number (71-79)

Blind Call Transfer

This will transfer the call without you contacting the recipient. An unanswered call will go to the recipient's voicemail if configured

1. Press the Tran(sfer) button or soft key during an active call. The call is placed on hold.

2. Enter the Number you wish to transfer too.

3. Press the Tran button or soft key.

Semi-Attended Transfer

This allows you to confirm their phone starts ringing for initiating the transfer

1. Press the Tran button or soft key during an active call. The call is placed on hold.

2. Enter the Number you wish to transfer too, and then press the Send/# button on the dial pad.

3. Press the Tran button or soft key when you hear the ring-back tone.

Attended Transfer

This allows you to talk to the recipient before transferring the call

1. Press the Tran button or soft key during an active call. The call is placed on hold.

2. Enter the Number you wish to transfer too and then press the Send/# button on the dial pad.

3. When the recipient answers, if they wish to accept the call, press the Tran button or soft key.

4. If they wish to Reject the call, press the EndCall soft key. Press the Resume soft key to return to the original caller.

Call Pickup

You can pick up any ringing extension within your group. Check with your technician who the groups are.

Pickup a specific extension:
1. Dial ** and then the Extension to answer their ringing phone.

Pickup any ringing phone in your group:
1. Press the Pickup soft key to answer any ringing phone in your group.

Call Conference

You can create an ad-hoc conference call with up to three recipients during an active call.

1. Press the Conf button or soft key during an active call. The call is placed on hold.

2. Enter the Number for the second party, and then press the Send/# button or soft key

3. Once the second party has answered the call, press the Conf button or soft key. All parties will now be joined in the conference.

4. Press the End Call soft key, or hang up to disconnect all parties.

Call Forward

When you're going to be at another extension (or on your mobile) for an extended period.

Note: Once the forwarding number has been set, it will remember this and allow you to enable/disable with a single press of the Call Fwd button.

1. Press the Call Fwd soft key

2. Select the desired forward type:
a. Always Forward: incoming calls are forwarded unconditionally.
b. Busy Forward: incoming calls are forwarded when you are on the phone.
c. No Answer Forward: incoming calls are forwarded if not answered after a period of time.

3. Enter the Number you wish to forward too. For No Answer forward, use the Left/Right arrow keys to specify the desired ring time before forwarding.

4. Press Save soft key to accept the change.

Listening to Voicemail

Note: Voicemail is normally disabled if voicemail to email has been enabled

To listen to your Voicemail on YOUR phone:
1. Press the Message button.

2. Follow the Voice Prompts to listen to your messages.

To listen to your Voicemail from a DIFFERENT phone:
1. Dial *98

2. Enter your Extension number when prompted.

3. Enter your Pin when prompted.

4. Follow the Voice Prompts to listen to your messages.

To listen to your Voicemail on YOUR phone:
1. Press the Message button.

2. Follow the Voice Prompts to listen to your messages.

To listen to your Voicemail from a DIFFERENT phone:
1. Dial *98

2. Enter your Extension number when prompted.

3. Enter your Pin when prompted.

4. Follow the Voice Prompts to listen to your messages.

Message Recordings

Accessed via the voicemail system

Press 1 to listen to messages.
- Press 5 to repeat the current message.
- Press 6 for the next message.
- Press 7 to delete the current message.
- Press 8 to forward the message to another extension.
- Press 9 to save the message for later.

Press 3 for advanced options

Press 0 for Mailbox options
- Press 1 to record your unavailable message, which is played on no answer.
- Press 2 to record your busy message, which is played when you are on the phone or reject an incoming call.
- Press 3 to record your name played to the caller.
- Press 4 to record a temporary greeting.
- Press 5 to change your pin.

Press 1 to listen to messages.
- Press 5 to repeat the current message.
- Press 6 for the next message.
- Press 7 to delete the current message.
- Press 8 to forward the message to another extension.
- Press 9 to save the message for later.

Press 3 for advanced options

Press 0 for Mailbox options

Call History

1. Press the History soft key and use the up/down arrows to navigate.

2. Select an entry from the list, you can do the following.
a. Press the Send soft key to call the entry.
b. Press the Delete soft key to delete the entry from the list.

3. If you press the Option key, you can also do the following.
a. Select Detail to view detailed information about the call.
b. Select Add to Contact to add the entry to the local directory.
c. Select Add to Blacklist to add the entry to your block list.
d. Select Delete All to delete all entries from the list.

1. Press the History soft key and use the up/down arrows to navigate.

2. Select an entry from the list, you can do the following.
a. Press the Send soft key to call the entry.
b. Press the Delete soft key to delete the entry from the list.

3. If you press the Option key, you can also do the following.
a. Select Detail to view detailed information about the call. 
b. Select Add to Contact to add the entry to the local directory.
c. Select Add to Blacklist to add the entry to your block list.
d. Select Delete All to delete all entries from the list.

Directory Dialling

Note: You have access to two different directories:

1. A local directory, which you can add and delete contacts from.

2. A remote directory, which the administrator has specified the entries.)

Directory entries will also be searched and displayed automatically if you start dialling by name on the keypad.

1. Press the Dir soft key.

2. Select the Local or Remote directory

3. Use the arrow keys to navigate and select/dial the entries.

Modify the Local Directory

To add a contact:
1. Press the Dir soft key.
2. Select the Local directory listing, and then select All Contacts.
3. Press the Add soft key to add a contact then enter the name and numbers in the relevant fields.
4. Press the Add soft key to accept the changes.

To edit a contact:
1. Press the Dir soft key.
2. Select the Local directory listing, and then select All Contacts.
3. Use the arrow keys to navigate to your contact.
4. Press the Option soft key and then select Detail.
5. Edit the contact information and press the Save soft key.

To delete a contact:
1. Press the Dir soft key.
2. Select the Local directory listing, and then select All Contacts.
3. Use the arrow keys to navigate to your contact.
4. Press the Option soft key and then select Delete.
5. Press the OK button or soft key when the LCD prompts Delete selected item.

To add a contact:
1. Press the Dir soft key.
2. Select the Local directory listing, and then select All Contacts.
3. Press the Add soft key to add a contact then enter the name and numbers in the relevant fields.
4. Press the Add soft key to accept the changes.

To edit a contact:
1. Press the Dir soft key.
2. Select the Local directory listing, and then select All Contacts.
3. Use the arrow keys to navigate to your contact.
4. Press the Option soft key and then select Detail.
5. Edit the contact information and press the Save soft key.

To delete a contact:
1. Press the Dir soft key.
2. Select the Local directory listing, and then select All Contacts.
3. Use the arrow keys to navigate to your contact.
4. Press the Option soft key and then select Delete.
5. Press the OK button or soft key when the LCD prompts Delete selected item.

Volume Control

Ringer Volume:

1. Press the +/- rocker button to increase/decrease the ringer volume when the phone is idle.

Call Volume:

1. Press the +/- rocker button to increase/decrease the handset volume during a call.


Ringer Volume:

1. Press the +/- rocker button to increase/decrease the ringer volume when the phone is idle.

Call Volume:

1. Press the +/- rocker button to increase/decrease the speaker volume during a call.

IVR (Automated Attendant) Recordings

Note: There are six pre-defined recordings available on your system. While they are there, they do not have to be used depending on your required call flow. Contact us if you'd like to change your current IVR options. You can use numbers 0-8 as prompts to direct callers to different locations.

1. Press the Display Switch button on your screen until you see the Holiday and Recordings options. (T27 model phones or higher). This will normally be the bottom right soft key beside your screen. You can also dial 1002 to access this directly.

2. Select Recordings and listen to the prompts for the item you'd like to re-record.
a. Office Hours recording is option [1]
b. After Hours recording is option [2]
c. Absences recording is option [3]
d. Information recording is option [4]
e. General Voicemail prompt is option [5]
f. Holiday mode recording is option [6]

3. This will play back the current recording.
a. Press * to change the recording, followed by the # when you've finished.
b. Press 1 to listen to what you've recorded.
c. Press 2 to save the change or press * to re-record.

Holiday or Permanent Night mode

Note: Your system has a Time Condition override which allows you to automatically send all incoming calls to a Holiday IVR. You can activate or deactivate this is two ways.

1. Press the Display Switch button on your screen until you see the Holiday and Recordings options. (T27 model phones or later). This will normally be the bottom right soft key beside your screen.

2. Press the Holiday button, this will change the LED to RED to indicate it's in override mode.

3. Press the Holiday button again to deactivate.

You can also activate/deactivate the mode by dialling *280.
